Safety and compliance training: questions, answered

Bindro sells seats on scheduled safety courses and bills the employer rather than the trainee: a seat on an OSHA, forklift, confined-space or first-aid course is bought by card or on a purchase order with net-30 terms and no card at all, the prerequisite certificate is uploaded before the place is confirmed, and anyone under sixteen is refused on the money path rather than at the door. After the course runs, the training centre issues one serialised certificate per trainee who was actually marked in. It is not an awarding body and files nothing with one. It costs 2.5% + $0.99 per paid seat; free courses cost nothing.

What training centres ask

How do I invoice employers for safety training?
You turn nothing on: the "invoice my organisation" control is on the booking form because safety training declares invoicing, so an employer books seats, names the organisation to bill and the accounts-payable address, and completes without a card. Bindro raises the bill inside the same transaction that commits the seats, numbers it gaplessly for your training centre, emails it to that address and lists it under Invoices in your console until you mark it paid.
What software handles purchase orders for course bookings?
Bindro does, for this vertical, and the purchase-order number is a first-class field rather than a note. The employer types their own PO reference at checkout, it is stored against the invoice, and it is echoed back in the invoice email — which is what lets an accounts-payable system match the bill to the commitment and actually pay it. The PO is optional for an employer who pays against the invoice number alone.
How do training centres issue certificates automatically?
Not automatically, on bindro — and the distinction matters more here than the convenience does. After a session has ended you open Credits in the console and press "Issue certificates" for that session; bindro mints one certificate per trainee who has a check-in record, at the session's scheduled contact hours, each with its own serial. A trainee who paid and never arrived gets nothing, re-issuing the same session duplicates nothing, and a session that has not finished is refused.
Does bindro send my certificates to OSHA or to an awarding body?
No. Nothing in the platform transmits anything to OSHA, to a DOL outreach programme, to the American Heart Association or to any other awarding body — no agency is integrated anywhere in bindro. What you get is your own certificate of attendance: your training centre's name, the trainee, the course, the date, the contact hours and a serial to verify it against. Cards, eCards and scheme submissions remain your job, done exactly as you do them today.
What happens if an employer never pays the invoice?
The invoice is voided thirty days after it was raised and the booking is cancelled with it — the seats go back into the pool and those trainees drop off the door list, so a scan or a name check refuses them. Nothing is reversed in your ledger because nothing was ever credited: an unpaid invoice moves no money at all. Watch the Invoices page in the last week rather than waiting for the sweep.
Can a trainee attend before their employer has paid the invoice?
Yes, and the invoice email says so in as many words. A booking on a purchase order sits in pending_invoice, which is a real reservation: the seats are committed, the trainee is on the door manifest and the door admits them normally. That is deliberate — net-30 terms and a course that runs next Tuesday are the ordinary case in safety training, and a seat nobody may sit in until finance pays is not a seat.
How do I mark a payment against an invoice once the money lands?
Someone with the refund grant opens Invoices in the console, finds the bill and marks it paid with the bank or remittance reference the money arrived on — the reference is required, because a payment recorded against nothing traceable is how a ledger acquires money that never came. That settlement is what writes the payment row and credits your balance; the same invoice cannot be settled twice.
Can I take one purchase order for six trainees on the same course?
Yes, and this is the ordinary shape of the vertical. Six seats on one booking raises one invoice for the whole amount, and bindro creates a roster with exactly six places — one per seat paid for. The person who booked gets a link to that roster and can name people as the employer decides who is coming, including after the invoice has been settled. Nobody can add a seventh person from the roster.
How do I collect the prerequisite certificate before I confirm a place?
The prerequisite certificate is a required file field on the booking, so the upload happens during checkout and a booking without it cannot be completed. The file is held against the live booking and claimed onto the order when it confirms, which means a reference from somebody else's checkout is refused on the money path rather than quietly accepted. Files up to five megabytes; one document per booking, not per trainee.
Can I stop an under-age trainee booking a powered-equipment course?
Sixteen is enforced across safety training as a hard rule on the date of birth, not an attestation: a booking for anyone younger is refused inside the confirm transaction, with the rule named and the error anchored to the field, and no order and no payment exist afterwards. An unparseable date is refused too. Awarding bodies that set a higher floor for their own course are not modelled, so that check is still yours at enrolment.
How do I publish a monthly schedule of the same course?
Generate a series from the course page — a cadence like "Tuesdays 09:00 for eight weeks" creates every session and its own seat pool in one transaction, so each date sells and fills independently. Capacity is per session, which is what a training centre needs when the confined-space rig takes eight and the classroom takes twenty. Sessions generated this way belong to one course, which matters for when you are paid.
When am I paid for a course that runs as a series of dates?
One payout per course, released two days after that course's LAST session has ended — not per date. A series generated as eight Tuesdays is one course with eight sessions, so the money for week one waits for week eight. If you need to be paid monthly on a rolling schedule, create each month as its own course rather than extending one series across the year. Money never moves before delivery.
Can I ask different questions depending on what a trainee answers?
Yes. Fields can be shown conditionally on an earlier answer, and the rule is enforced on the money path rather than only in the browser — a hidden field is not required, and a visible one cannot be skipped by posting past the form. There is no scripting: the condition is declared on the field itself, so the same rule governs the hosted form and the JSON API.
How does the register work in a plant or workshop with no signal?
Safety training checks trainees in against a name list, and the door works with no connection: a device syncs a signed manifest of the names beforehand, validates entirely on the device, and uploads the shift log when it is back on a network. A re-upload counts as duplicates rather than double-marking anyone, and the same person marked in on two devices surfaces in a conflict queue for you to settle rather than resolving itself silently.
Can I move a trainee to next month's course instead of refunding them?
Yes. Deferral is the default remedy here: the order screen offers Defer beside Refund, and it issues a course credit the employer redeems against a later date instead of money going back to a card. The code is emailed to whoever paid, it is good for twelve months, and until it is spent the money sits on a liability of its own rather than counting as yours to take out. A booking of two or more seats has a second answer as well — rename the place on the roster and send somebody else this month. Say which you offer in your own terms rather than leaving employers to assume.
Can I give an employer a discounted rate for booking several seats?
Not as a group rate — the group price and the party size it starts at have no control anywhere in the product, whatever the pricing list on the vertical page implies. Three things do work: a member rate against your own membership roster, a promo code issued to that employer, or a separate ticket type priced for block bookings and published alongside the open-course seat. All three are real controls with real refusals behind them; a group rate would be a price nobody can actually set.
Does bindro add sales tax to a course seat?
It can, per course, at a rate you declare — tax is added on top of the seat price in the US price-exclusive way, itemised on the payment page, stored inside the charged total and reversed proportionally on a refund. Collected tax is never treated as your revenue and cannot be paid out to you. Inclusive VAT is a different capability and is not claimed for this vertical, so bindro is a US-only tool here.
Can I sell a three-day confined-space course as a single booking?
Through the public JSON API, yes: one order with a line per day, one roster and one credential per person per day, each admitting only at its own session. Through the hosted checkout, not yet — that flow still sells one session per order, which is a real limit worth knowing before you publish a booking link. Most training centres sell the three days as one session of the right length instead.
Does bindro tell trainees when their certificate is about to expire?
No. A certificate records hours, a serial and the session it came from; no expiry or renewal date is stored anywhere, and nothing is scheduled to email anybody about one. What you have is the attendee export and a per-person history across courses, which is enough to build a renewal list in a spreadsheet or your own CRM. The three-year refresher chase is not a bindro feature and should not be planned as one.
Can I take a booking over the phone and record the payment offline?
Yes — a back-office booking takes a hold, walks the same registration form the public flow uses and records an external payment for the server-derived total, so an incomplete registration is refused exactly as it would be online. Be aware that an externally-paid booking has no card charge behind it, so it cannot be refunded through bindro; you return that money the way you took it.

What trainees ask

Can my employer pay by purchase order instead of using a card?
Yes, where the training centre uses bindro for safety training. Choose to have your organisation invoiced on the booking form, name the organisation and the accounts-payable address, and add your PO number if your finance team issues one. The seats are reserved immediately and the invoice, quoting your PO, goes to that address with thirty-day terms. No card is asked for at any point.
What do I need to upload before my place on the course is confirmed?
Evidence of the prerequisite qualification the awarding body requires for that course — the certificate or prior qualification you already hold — uploaded during the booking itself. It is required, so the booking cannot be completed without it, and it is attached to the whole booking rather than to each person on it. A photograph or a scan up to five megabytes is fine.
I booked six seats and one person has changed — can I swap the name?
Yes, on a booking of two or more seats. The confirmation gives whoever booked a link to the roster, and any place on it can be typed or re-typed at any time, including after the invoice has been paid — the new person's name and answers replace the old ones on the door list. It is a rename rather than a ticket transfer, so if you have already forwarded joining instructions, tell the first person the place has moved.
Can I send a colleague in my place if I only booked one seat?
Not through bindro — handing a seat on is a ticket-transfer control that safety training does not declare, so it never appears on a single-seat booking. Ask the training centre: they can refund your booking and take a new one in your colleague's name, or book the seat for you in the back office. Book two or more seats and the roster gives you the rename directly.
When do I get my certificate, and what does it say?
After the course has finished and the training centre has issued certificates for that session — it is their action, not an automatic one, so ask them about their timing. The certificate names you, the course, the date it ran and the contact hours, and carries a serial your employer can quote back to the training centre to verify it. It is the training centre's certificate of attendance, not an awarding-body card.
What happens to my certificate if I miss a day of the course?
A certificate exists only for a session you were actually marked in at, because issuance reads the register rather than the payment — someone who paid and never arrived gets nothing at all. If a course runs as several sessions, the day you missed produces no certificate for you even though the rest do. What the training centre does about the missed day is their policy, and worth asking before you book.
Can I get my money back if I cannot attend the course?
Every confirmation email carries a signed link to your own booking with a refund control on it, subject to the training centre's policy and closing when the session starts — and if a course is cancelled outright it stays refundable afterwards. Bookings paid by invoice or taken over the phone have no card charge behind them, so those are settled with the training centre directly rather than through the link.
Why does the booking form ask for my date of birth?
Because supervised workplace training has a floor of sixteen and the awarding body requires it to be checked before the place exists, not on the morning of the course. The date is checked as the booking is confirmed and a younger trainee is refused there and then, with nothing charged. It is stored as personal data under the training centre's retention rules rather than kept indefinitely.
The course I need is full — can I join a waiting list?
Not through bindro: safety training does not declare a waiting list, so a full course shows as "Course full" and there is no form to leave your name on. Contact the training centre directly — they can tell you the next date, and most publish their schedule weeks ahead precisely because open courses fill. A cancelled seat returns to the pool and simply becomes bookable again without anybody being notified.
Do I need to bring anything to be let into the course?
Usually just yourself: safety training checks people in against a name list, so the trainer finds your name rather than scanning a code, and the list works whether or not the site has signal. Bring the original of any prerequisite certificate you uploaded if the training centre asks for it — bindro stores the file you sent but cannot vouch for it, and re-entry across a multi-day course is allowed.

What does bindro NOT do for a training centre?

A capability this vertical does not declare is refused by the engine rather than quietly missing, so it is listed here rather than left to be discovered.

  • Awarding-body cards and submissions — no agency, scheme or regulator is integrated anywhere in the platform. Bindro issues its own certificate of attendance with contact hours and a serial; the OSHA or DOL card, the eCard and the scheme submission stay exactly where they are today, with the training centre.
  • Filing a certificate with the awarding body — a certificate carries its expiry, and the employer screen prompts you before it lapses, but nothing is transmitted anywhere. You issue the document; reporting it stays with your training centre.
  • Swapping the named trainee on a single-seat booking — ticket transfer is not declared for this vertical and the control does not render. A booking of two or more seats can be renamed from its roster link, which is the real answer for an employer.
  • A waiting list for a full course — the waitlist capability is not declared here, so a full course shows "Course full" and takes no names. Publishing the next date is the workaround.
  • Payment plans — instalments are not switched on for safety training. An employer either pays the whole seat by card or takes the whole booking on a purchase order.
  • A group rate on a seat — the group price and its threshold live on the ticket type and nothing in the product writes them, so a block-booking discount has to be a promo code, a member rate, or a separate ticket type priced for employers. A MEMBER price can be set (B21): a trainee quoting a current membership number is quoted it on the money path.
  • Chasing an unpaid invoice — one invoice email goes to the accounts-payable address and nothing follows it. There are no reminders, no statements and no partial payments, and an invoice still unpaid at day thirty is voided, which cancels the booking.
  • Selling a whole multi-day course as one hosted-checkout order — the hosted flow still sells one session per order and the multi-day agenda ships on the public JSON API.
  • Printed badges, course material and online testing — there is no badge printing for this vertical and no learning platform anywhere in bindro. Nothing hosts a slide deck, marks a test or delivers an e-learning module.
