Waivers and injuries: what bindro records, and what stays yours

A student signs the physical-activity waiver on their first booking with you, and later bookings carry that acceptance forward as a link to it rather than a fresh signing. Another teacher, another email address, a reworded waiver or a lapsed retention asks again. Injury answers are health-class data, out of AI and analytics absolutely. Your insurance and your judgement remain yours.

Does a student sign the waiver once or every time?

Once, with you. The first booking presents the waiver and refuses to complete without it; every booking after that, made with the same email address, carries that acceptance forward instead of asking again. A row is still written for each order inside the money transaction, so the per-booking record an insurer asks for still exists — it points at the signature it stands on rather than inventing a second one.

Four things end the carry-forward, and each of them is deliberate. It is scoped to your organisation, because a signature given to another teacher is not a contract with you. It is keyed on the email address the booking is made with, because a name key would let one student's signature cover another's. It is exact on the wording, so the day you reword the waiver every student signs the new one. And it lapses with the acceptance's own retention, because a record we have stopped keeping cannot stand behind anything.

What exactly is recorded when a student signs?

The requirement they accepted, the name they typed as their electronic signature, a digest of the exact wording that was shown to them, the time, and a retention period of 36 months for classes. The digest is the part people underestimate: it means the text you showed a student in March cannot be quietly rewritten in June and presented as what they agreed to.

The record is written inside the money transaction, which means it exists for exactly the bookings whose money moved — no signed waiver against an abandoned checkout, and no paid place without one.

The waiver is blocking. A booking that has not accepted it does not complete, so there is no state where someone has a place and no signature.

How is the injuries answer handled?

It is declared health-class data on the field itself, and that declaration drives behaviour rather than describing it. Health answers are excluded from AI context absolutely, in every vertical, with no override — nothing a student writes about their shoulder can be repeated by an assistant. They are kept out of analytics exports, redacted in logs, and anonymised by the retention sweep earlier than ordinary contact details.

You see them where you need them, in two places. On your register, under the student's name, because the screen you take the register on is the screen you have open when somebody walks in; and on the health sheet for that class, one link from the class itself, if you would rather read the room in one page before you teach it. Both are gated, and not identically: the answers on the register need the grant that reads students, so a cover teacher on a door role sees names and check-ins and none of this, while the sheet is narrower still — its own permission, a fresh verification even though you are signed in, and the read recorded against your name. What that leaves you holding is a phone with a student's back injury on it in a room full of people, so hold it the way you would hold anybody's medical note. The question is optional, because a required injury box teaches students to type "none" and produces worse information than no box at all.

Ask for what you will act on. "Injuries or conditions I should know about" invites a useful sentence; a medical history form invites nothing and creates an obligation you did not want.

What is still my responsibility?

Your public liability insurance, your qualifications, your judgement about whether a student should be in the room, and any screening your insurer or your governing body requires. Bindro verifies none of these and does not hold documents for this vertical — there is no file upload here, so certificates live wherever they live now.

Teaching under-18s is outside what this vertical is configured for. Minor consent is not a declared capability, so there is no guardian countersign and no age gate on the money path: if you teach children, that consent process has to be yours, run outside the booking.

The waiver text itself is yours as well. Bindro records what was shown and who signed it; whether the wording protects you is a question for someone qualified to answer it in your jurisdiction.
